Quick answers

How do I import my teacher roster? 路 SchoolConferenceGo

Export your staff list to a CSV file from your student information system or a spreadsheet. Go to Conferences, open the night, and under Import a teacher roster (CSV) pick the file and click Import CSV.

Give the file a header row. Columns for name, email, grade or subject, and room are found by their header words, in any order. Only a name is required. No accounts are made for teachers; each one gets a private link instead.

If the import does not work, see CSV import troubleshooting.

How do message credits work? 路 SchoolConferenceGo

Credits pay for the emails and texts SchoolConferenceGo sends to families. One credit is one cent. An email is 1 credit. A text is 3 credits for each 160 characters.

Uses credits: booking confirmations, reminders, waitlist emails, Invite families, and Message families.

Free: the email that sends teachers their link, and the morning after feedback question.

Every plan includes credits each month: 400 on Free, 1,500 on Community, and 2,500 on School and District. Included credits refresh monthly. Credits you buy never expire. See your balance under Credits at the bottom of the left menu, and buy packs in Settings, Billing. Turn on Auto refill so you never run dry on conference night.

Before you send an invite or a message, the confirm box shows the most it can cost.

How do teachers access their schedules? 路 SchoolConferenceGo

Through a private link. On the night page, click Email each teacher their link, or copy a teacher's link from the Teacher link column. The teacher opens it and sees their bookings. There is no password and nothing to set up.

How long does it take to set up my first conference night? 路 SchoolConferenceGo

Usually a few minutes. Creating a night is one form: title, dates, times, meeting length, and a teacher list you can paste in one go. Then you send teachers their links and click Publish.

See Getting started for the full path.

Is parent and student data secure? 路 SchoolConferenceGo
  • Every page and request goes over HTTPS.
  • The private links for families and teachers are stored as one way hashes. A copy of the database is not enough to open anyone's link.
  • Every record belongs to one school. Staff only see what their role allows.
  • Teachers only see their own schedule, and their link stops working a week after the night.
  • Data exports are recorded in an audit trail the school can read.
  • We never sell data and never use student records for advertising.

More on the security page and the privacy page.

What data do you collect about students? 路 SchoolConferenceGo

Very little. A conference booking holds the student's name as the parent types it, so the teacher knows who the meeting is about. Everything else is about the parent: name, email, phone if given, whether they said yes to texts, their language, an interpreter request, any comment they typed, and when they checked in.

If the family answers the morning after question, their 1 to 5 rating and comment are kept too.

SchoolConferenceGo does not collect grades, health information, or birthdays. Other SizzleGo products a school may use hold more, and the privacy page lists what each one keeps. A school can ask us to delete its data at any time.

What does SchoolConferenceGo cost? 路 SchoolConferenceGo

There are no per teacher or per student fees, on any plan.

On the Free plan you can pick SchoolConferenceGo as your one extra product and run real conference nights: up to 2 organizers, 3 nights open for booking at a time, 200 households, and 400 message credits a month. CalendarGo, GazetteGo, and SignUpGo come free alongside it.

Community is $399 a year, or $39 a month, for all 8 Community products, with unlimited conference nights, organizers, and households, and 1,500 credits a month.

School is $1,999 a year per site, with all 11 products, a signed privacy agreement, SSO and rostering, a named support contact, and 2,500 credits a month. It can be paid by invoice. District starts at $1,399 a year per site.

Conference booking collects no money, so the payment fee never applies. Credits pay for emails and texts. See the pricing page.

What happens to our data if we cancel? 路 SchoolConferenceGo

Cancelling a paid plan moves you to Free and deletes nothing. Your nights and bookings stay where they are.

To take a copy, go to Settings, then Export everything, and download the Conference reports CSV. It is the same file as Download roster (CSV) on Reports.

When you want your data gone, email hello@SizzleGo.com from an owner account and we delete it. The privacy page has the details, and a signed data privacy agreement on the School plan can set the exact terms.

What if a teacher is absent on conference day? 路 SchoolConferenceGo

Use Teacher is out on the night page. You do not need to reach the teacher.

Mark the teacher out

  1. Go to Conferences and click the night.
  2. Under Teachers, click Edit or mark out under the teacher's name.
  3. In Teacher is out, tick the day or days they are out. A one day night has nothing to tick.
  4. Type the Reason families read, like "Ms. Chen is out sick today."
  5. Click Mark out and confirm.

What happens

  • Every time of theirs still ahead on those days closes. Families cannot book them, and nobody on the waitlist is told a time opened.
  • Each family booked with them on those days is cancelled and emailed in their language, with your reason and a link to pick another time or another teacher. Families who said yes to texts also get a text.
  • If booking is closed, the email asks the family to contact the school instead of sending a link.
  • A meeting that has already started is left alone.
  • The teacher's row shows Out with the days and your reason. Their own link shows the closed times. Each step is kept in the audit log.

If the teacher can come after all

  • Click Teacher is back under their name. The times you closed open again, including a team that closed because of them. Times the teacher blocked on their own stay blocked.
  • Families who were cancelled are not rebooked or told. Call them, or book them again with Book for a family.

Good to know

  • Teams the teacher sits on: if someone else on the team can come, the team keeps its times and families keep their bookings. The team's row shows who is missing, so use Message families to tell them. If nobody else on the team can come, the team's times close and its families are told, the same as the teacher's own.
  • A cancelled family who was also on that teacher's waitlist is taken off it, so they are never offered a time with a teacher who is out.
  • If a substitute will meet families, add them with Add teachers. Bookings cannot be moved from one teacher to another, so families book the substitute themselves from the link in their email.
  • To tell one teacher's families something else, like running late or a room change, use Message families and pick that teacher.

What languages does the conference booking page speak? 路 SchoolConferenceGo

Thirteen. English, Spanish, French, German, Chinese, Japanese, Arabic, Farsi, Turkish, Hebrew, Vietnamese, Korean, and Portuguese. Arabic, Farsi, and Hebrew read right to left.

A family taps Language at the top of the booking page and picks theirs. Their confirmation, reminder, waitlist emails, and the "How was your conference?" question then come in that language too. The sibling planner, the change or cancel page, and the teacher link speak all 13 as well.

A family who needs an interpreter at the meeting ticks I need an interpreter and types the language. The office and the teacher both see the request.

What meeting lengths can I use? 路 SchoolConferenceGo

Set Minutes each to any number from 5 to 60. Every teacher on that night gets the same length. There is no buffer setting between meetings. Use Breaks for a pause, like 17:00-17:30 for dinner, or let teachers block single times from their own link.

The length can be changed under Edit this night until the first family books. After that it stays fixed.
