When a Time Slot Is Full

How the waiting list works for families and for you.

Families can join a waiting list

When a teacher's time slot is already taken, parents see a 'Join Waitlist' button instead of a greyed-out slot. After joining, they see a confirmation ('You've been added to the waitlist — we'll notify you if a spot opens up') and get a follow-up email with their exact position, like 'Position: #2'.

Tip: Nothing to switch on. It's available on every full slot.

Cancellations fill themselves

If the family holding the slot cancels, the first person waiting is booked into it automatically and emailed their confirmation. You don't have to do anything, and the slot never sits empty while someone is waiting for it.

Tip: This works whether the booking is cancelled by the family or by your office.

See who's waiting

Go to Reports. If anyone is on a waiting list, a 'Waiting list' table shows their position, the teacher and time they're waiting for, and their contact details. The section is hidden when nobody is waiting.

Tip: A long waiting list for one teacher is a good sign you need to add more time slots for them.
