Book rooms with a resource calendar and stop double booking
A resource calendar is for a shared space, like the Gym, the library, or a field. When a calendar is marked as a resource, two events cannot overlap on it.
Steps
- Go to Calendar and click Create a calendar. Name it after the room, like Main Gym.
- Tick This is a resource (a room like the Gym). Warn on a double-booking.
- Click Create calendar.
- To turn an existing calendar into a resource, open it, tick the same box under Settings, and click Save settings.
- Add bookings with Add an event, like any other event.
Good to know
- If a new or moved event overlaps one already on the calendar, it is refused. The message names the event it clashes with, so you can pick another time.
- A repeating booking is checked on every date it repeats.
- An event with no end time blocks one hour.
- Cancelled events do not block the room. Events waiting for review do.
- The check is within one calendar. Give each room its own resource calendar.
- Resource calendars show a resource tag in the Calendars list.
- Set Who can see it to Internal if families should not see the room schedule.
