Staff Scanner for Volunteers

On event day you'll often have volunteers working the gate, checking tickets, and scanning QR codes. The Staff Scanner feature lets you hand a volunteer a secure link (or QR code to scan) that gives them scanner-only access for 24 hours - no account, no login, no access to your dashboard.

When to use it

• Gate volunteers scanning spectator tickets
• Division coordinators checking in teams before their first match
• Booster club members running the merch table
• Parents who need to verify entry without seeing revenue or other private data

What you get

• Single-tap generate: one button creates a signed JWT token
• Tokens expire automatically after 24 hours
• Scoped to the scanner screen only - no access to financials or attendee data
• Shareable as a link or a printable QR code
• Multiple volunteers can use the same link or you can generate one per volunteer
• Revokable by regenerating if a device is lost

Setup

1. Open your tournament in the dashboard
2. On the Overview tab, click Gate Scanner → Share with Staff
3. Copy the share link or download the QR code image
4. Send it to your volunteers via text, email, or printed handout
5. Volunteers open the link, point their camera at each ticket QR, and see a green/red result instantly
6. When the event is over, the tokens expire on their own - no cleanup needed

Tips

• Generate the link the morning of the event so the 24-hour window aligns with game day
• Print the QR code on a handout at the volunteer table - no typing required
• Give each volunteer their own device - one scanner per gate prevents bottlenecks
• If a ticket fails to scan, check if it was already used - duplicate scans are blocked
• Train volunteers: a green screen means admit, red means stop and check with the organizer
