How to Run a USAU-Compliant Ultimate Tournament: The 2026 TD Playbook

A complete TD playbook for running a USA Ultimate-compliant tournament in 2026 - seeding, schedule, Spirit scoring, and weather holds, all without a spreadsheet.

Running an Ultimate Frisbee tournament in 2026 looks nothing like it did ten years ago. Captains expect SMS schedule updates, players expect to see their Spirit scores the same night, and USA Ultimate expects clean sanctioning paperwork. Paper brackets and shared Google Sheets just don't scale anymore. Here's the workflow TDs are using to stand up a full USAU-compliant tournament in a single planning session.

1. Sanction early, then lock the format

USAU sanctioning paperwork should be filed 6-8 weeks out. Once sanctioning is confirmed, lock the format before you touch a schedule:

  • Team count (8, 12, or 16 works cleanest)
  • Pools (3- or 4-team pools are easiest to schedule)
  • Bracket style (championship bracket + consolation, or power pools)
  • Game-to and cap (typically to 13, cap 15, or universe-point cap for pool play)
  • Field count and game length (90-100 minutes is standard with cap)

2. Collect more than a team name at registration

Modern Ultimate registration asks for captain contact (for SMS), team jersey colors (to avoid light-on-light conflicts), USAU roster link, and Spirit contact. A platform like SignUpGo stores all of it and pushes captain phone numbers directly into the SMS list.

3. Seed and build pool play from the registration list

Seed by USAU rating or your own power ranking. Top seeds go into separate pools. For 12 teams on 3 fields, every pool game should be scheduled before the first bracket game drops.

A good tournament scheduler rotates fields so no team plays on the same field twice in a row, balances rest time, and auto-avoids scheduling a team in two places at once.

4. Spirit of the Game: collect it, publish it

USAU requires Spirit scores after every match. Make that painless: captains submit Spirit inside the same dashboard they submit their score. Publish the running Spirit leaderboard as it comes in - not just the final - so teams can see where they stand all weekend.

5. Communicate in real time via SMS

Captains do not refresh a webpage. Trigger SMS when:

  • A schedule shifts by more than 15 minutes
  • A team's next game is 30 minutes out
  • Weather holds or field reassignments occur
  • Bracket games are posted
  • Spirit scores drop below 9 (discreet DM to captains before finals)

6. Weather holds and lightning protocol

Lightning within 8 miles? 30-minute field clear. If you lose 90 minutes, cut pool play to 3 rounds, drop universe-point cap to 11, or shorten bracket games. A scheduler that rebuilds automatically is the difference between a finished tournament and an angry captains' meeting.

7. Publish results, rosters, and Spirit scores the same night
